Screening Managers and Recruiters can perform a range of admin management actions to the jobs created in their organization.
To do so, navigate to manage in the main menu, and manage jobs.
This guide includes the following sections:
- Adding candidates
- Resending email invitations
- Amending job details
- Closing a job
- Archiving / deleting a job
- Adding / removing Recruiters
Adding candidates
Screening Managers and Recruiters are able to add candidates to draft jobs, as well as live jobs.
To do this, search for the job you want to add candidates to and select it. In the candidates area, you’ll find an add candidates button.
Candidates can be added to a draft or live job at any point; allowing for a flexible recruitment process.
Candidates added to draft jobs will not receive an invitation email, until the assessment is launched, and the job becomes live.
Once the job hits the deadline (if one was set), no extra candidates can be invited.
Note: it is not possible to remove candidates from a job.
Resending email invitations
Screening Managers and Recruiters are able to resend the invite email to candidates as a reminder. They can do so every 24 hours.
To do so, select the job and navigate to the candidates area. Find a send reminder button in the action column, against candidates who have not yet completed the assessment.
Note: Managers can send reminders to candidates that have not yet accepted the invitation.
Those with an accepted status have already registered on the platform, via the invitation link. Managers are not able to resend the invitation in this case.
Amending job details
If a job is in draft status, select the job at any point to amend any of its details.
To change the assessment in draft jobs, select view assessment, and then the delete icon in the bottom right of the assessment:
If a job is live, you can add candidates, and change the job title or the assessment deadline.
Note: you are not able to change the assessment, to ensure a fair recruitment process.
We also recommend that the assessment deadline is not set for a Friday afternoon, Saturday or Sunday, due to our Customer Support team not operating out of core business hours, and so in the unlikely event that a candidate cannot launch the assessment, they could miss the deadline.
To change the job title, or the assessment deadline, select the ellipsis (three dots), in the action column, next to the job itself, and then edit.
Screening Managers and Recruiters cannot amend details for jobs that are closed or archived.
Closing a job
A job that is closed is a job that has reached its deadline. It is not visible to candidates.
Managers may wish to close a job, to prevent other candidates from completing or engaging with the assessment. This may be because the hiring process has concluded.
To close a job, select the ellipsis (three dots) and change the deadline, to enforce an earlier end. The job will close at midnight UTC on the date set.
Archiving/ deleting a job
A job that has been archived is not visible to candidates and cannot be edited by a Screening Manager or Recruiter.
A job must have a draft or closed status, in order for it to be archived.
To archive a job, select the ellipsis in the action column, and then archive.
Screening Managers and Recruiters can still view archived jobs they've created or manage, as well as reports associated with them, by filtering jobs by archived status.
Deleting a job means that the job is no longer available for Screening Managers or Recruiters to access on the platform.
To delete a job, select the ellipsis and then, delete.
It is not possible to delete a live job.
Adding/ removing Recruiters
Screening Managers of a job and Recruiters added to that job can add or remove Recruiters.
To do so, navigate to manage jobs, select the ellipsis in the actions column, then edit.
Search for Recruiters to add in the add Recruiters area, or remove Recruiters listed there already.
Note: Recruiters can be added to live or draft jobs. They cannot be added to closed or archived jobs.
