This feature allows Organization Managers to efficiently import users via CSV and send invitations, simplifying the process of onboarding and managing a substantial user cohort.
This bulk upload capability will bring in new and existing users; it’s not restricted to just new users. One way to think of the invite flow using bulk invites is that we either find or create a user, and add them to the team.
Note: Before you can import teams via a CSV file, you must download and enter the user details into the CSV template. This process is described below.
To import users by CSV:
- From the Immersive One platform main navigation, select Manage > Platform Settings > Teams:
- From the Team page, select the team from which you want to bulk import users.
- From the selected team's page,
If the team already has at least one member, click Bulk import:
If the team does not yet have any members, click Bulk import users: - If you have already downloaded and completed the CSV Template, click Upload CSV file. If you have not already downloaded and completed the CSV Template, skip to Step 6 of this procedure.
- The Immersive platform will verify the CSV; if there are no errors, you will receive a message that the users are ready to import. Click the import button to complete the process.
If you receive any validation errors, you must fix those first before you can upload the CSV file. - If you have not already downloaded and completed the CSV Template, click the Download CSV button from the previous step.
- The CSV template is an Excel sheet that contains the following header rows:
email
first_name
last_name
display_name
saml_uid - For each user that you want to upload, please enter the information in each column for each user.
Note: You need at least an email to create or find the record. Saml_uid is only necessary for Single Sign On (SSO) users. - Once the CSV template is complete, save the file and then click Upload CSV file.
- If necessary, review and fix any errors.
- Choose whether you would like invitations to be sent immediately, or to be deferred for a later time
Note: if there are any assignments assigned to the organization or the team, the imported users will receive assignment notification emails. - Complete the import.
Sending Invitations Later
If you chose to send invites later rather than immediately, you can resend these from the Team Members view. For SSO users, when invitees click the invite link, they’ll briefly see the landing page before being redirected to their SSO provider to login.
- Go to Platform Settings > Teams and then select the Team.
You'll see a notification on the left that there are members ready to invite. - Select Review and send invites.
- Confirm you're ready to send the invite emails.
