The Immersive platform gives managers the tools to create, manage, and monitor assignments for their teams — whether you're assigning content to a small group or distributing training to thousands of users.
What are assignments?
Assignments let you distribute specific labs, collections, exercises, or career paths to individuals or teams with defined start and end dates. The platform automatically notifies users when assignments begin and sends reminder emails based on your configuration.
Accessing the Manage Assignments page
The Manage Assignments page gives you a centralized view of all assignments you've created or own as a manager.
To access it, click Manage assignments from the Manager Quickstart dashboard:
The Manage Assignments page displays all assignments organized by product and category (Upskilling, Crisis Sim, Workforce Exercising, Team Sim, and so on).
Note: You can only view products or categories based on your license and permissions within the platform.
Filtering and viewing assignments
You can filter which assignments are displayed using the following options:
- Created by – filter by assignments you created, or assignments created by other managers in your organization.
- Status – filter by Pending, Active, and Closed assignments.
- Type – filter by Presentation, Single Player, and Drill (Crisis Sim and Team Sim only).
Assignment details
For each assignment, you can view the following information from the Manage Assignments table:
- Assignment title – note that you can't change the title of an active assignment.
- Status – Active, Pending, Enabled, or Closed.
- Start date
- End date
- Assignees – number of users assigned.
- Created by – the manager who created the assignment.
Managing individual assignments
For each assignment, you can quickly perform the following actions:
- Edit – modify assignment details such as dates, assignees, or content.
- Close – end an assignment before its scheduled end date.
- Delete – remove the assignment entirely.
Important: Users receive an email notification when the assignment starts, as well as deadline reminder emails based on your settings in Platform Settings > Email Frequency. Users don't receive email notifications when you make modifications to an assignment (such as changing the end date).
Viewing assignment reports
To access the activity report for an assignment, click the assignment from the Manage Assignments page. The Report page shows learner progress and completion rates.
Bulk assignments
The Bulk Assignment feature lets you assign labs, collections, or exercises to large groups of users at once. This is useful for onboarding cohorts, training rollouts, and organization-wide programs.
How bulk assignments work
Bulk Assignment is automatically activated when you assign content to 1,000 or more users. Once this threshold is reached:
- You'll receive a notification that the content is being assigned.
- The platform processes the assignments in the background.
- You'll be notified again once all assignments are complete.
This means large-scale assignments don't affect platform performance or require manual intervention.
Benefits of bulk assignments
- Time efficiency – assign content to thousands of users with a single action.
- Consistency – all users receive the same training materials and deadlines.
- Scalability – manage training distribution across large organizations.
- Flexibility – select recipients by user group, team, or individual user.
Selecting recipients for bulk assignments
When creating bulk assignments, you can select recipients by:
- User groups – assign to predefined groups based on department, location, or role.
- Teams – select entire teams or nested team structures.
- Individual users – add specific users to your bulk assignment as needed.
Best practices for bulk assignments
- Plan ahead – review your recipient list carefully before initiating large assignments.
- Set appropriate deadlines – consider the size of the content and the number of assignees when setting end dates.
- Communicate proactively – inform users about upcoming assignments before they receive platform notifications.
- Monitor progress – use assignment reports to track completion rates and identify users who may need support.
- Test with smaller groups first – for critical assignments, consider testing with a pilot group before rolling out to thousands of users.
Email notifications
Understanding when users receive notifications helps you manage assignments effectively:
- Assignment start – users automatically receive an email when an assignment becomes active.
- Deadline reminders – automated reminder emails are sent based on your configuration in Platform Settings > Email Frequency.
- Assignment modifications – users don't receive notifications when you edit an existing assignment (for example, extending a deadline).
Tip: If you need to communicate changes to an active assignment, message affected users directly so they're aware of the change.
