What are Programs?
A Program is a structured learning pathway designed to build specific skills in your workforce. As a manager, you assign Programs to individuals or teams—whether they’re ramping up a new role, closing a skill gap, or preparing for an emerging threat. For example, AI Knowledge Pass is a Program that verifies individuals have proven competency with AI tools before granting access.
Each Program brings together multiple learning experiences in to an individual learning journey —Adaptive Assessments to pinpoint where individuals stand, hands-on Labs to build practical capability, and Crisis Simulations to test readiness under pressure. This mix means your team learns by doing, not just by watching.
What sets Programs apart is personalization. You’re not just assigning generic training—you can add context specific to your organization, your challenges, and your team’s priorities. That context shapes how individuals engage with the content and how their progress translates to real performance gains.
The result? Your workforce gains the skills that matter for your business, and you have the visibility to prove it.
Where do I find Programs?
Programs live in the Manage menu, where you’ll see two things: your active deployments and programs still in draft.
Once you assign a Program to your team, it becomes a deployment—and that’s what you’ll manage going forward. Before assignment, the Program stays in draft, where you can review it, adjust exercises to fit your team’s needs, and configure the deployment settings.
Each Program can be deployed multiple times across your organization. That means you can run the same Program for different teams, different quarters, or different skill levels—customizing each deployment to its audience.
Getting started is straightforward. We’ve curated over one hundred Programs ready to deploy. Simply select the Program you need, review and adjust the exercises for your team’s context, choose your deployment settings, and assign. But if you can’t find a Program that matches your organization’s needs, you can build one with AI Builder—tailored exactly to your priorities.

How do I put a Program in front of my Learners?
How do I deploy a Program to my learners?
To put a Program in front of your learners, you’ll create a Deployment. A Deployment holds the practical details—who participates, when they complete it, and how reminders flow to participants.
The deployment workflow:
Go to Manage > Programs and click + Create Deployment
Find and select the Program you want to deploy from the Catalog, then review its structure and content
Click Deploy Program to move to the deployment configuration screen
Fill in the required information: a deployment title, schedule, and participant list
Review your choices and click Assign
Scheduling:
Set a start date for your deployment. Then choose either an end date or a weekly time commitment (in hours). The platform will auto-populate the other field based on what you select.
Assigning participants:
You can assign learners in three ways: select a team you’ve already set up in Platform settings, select individuals by name, or enable Open enrollment to let anyone in your organization opt in without a mandate.
Optional settings:
Exclude past progress — if learners have already completed certain exercises, toggle this on so they skip directly to new content.
Notification frequency — choose how often the platform sends completion reminders.
Review your configuration and click Assign to deploy.
AI Knowledge Pass: Access control configuration
AI Knowledge Pass Deployments include an additional step: deciding whether you want to grant and retain tool access based on participants proving their knowledge through program completion.
When you create a Deployment, you’ll see the option Automated Tool Access. Here’s what it means:
Require completion for tool access — participants must complete the Program to gain access to your organization’s AI tools. Once they complete it, access is granted. If their knowledge expires or they need recertification, access can be revoked automatically.
No access requirement— the Program functions as standard upskilling; completing it doesn’t affect tool access.
Important: If you enable Require completion for tool access, your organizational administrator will need to configure the automation that syncs program completion with your identity system. It’s quick to set up, and most admins have already configured similar automations across your other applications. We’ll notify them automatically, but you will not be able to deploy the program until the automation is set up.
How do I understand how my Program is progressing?
Clicking Manage > Programs. Here you can view and manage your deployed, published and draft programs.
Active Deployments
These are Deployments whose Start Date has passed and End Date has not yet been reached. Opening an Active Deployment will show the Program Step structure laid out visually. This view can be zoomed in and out to view more or less detail.
On the side panel, you will see an overall breakdown of the Statuses of all the Learners Enrolled in the Deployment.
As they progress through the Deployment, their Pace will be monitored and classified as follows:
Not started
Behind
On Track
Ahead
Completed
If the user has been Enrolled and has not taken any action in the first Step, they are marked as Not Started.
Once the user begins content, they will enter one of the three “In Progress” states: Behind, On track, or Ahead. To calculate these, we look at the time expectation entered as part of the Deployment, and plot the rate at which users should be completing content in order to complete the longest path still available to that user. If there is enough time between now and the end of the Deployment to complete the content remaining for that user, they are marked as On Track. If they are ahead of the curve, we will mark them as Ahead, and if they are behind, we will mark them as Behind.
Clicking on one of these statuses will show, on the right panel, all Learners who have that status.
Interventions
When viewing any set of Learners in the Deployments view, you, as the Manager, have the ability to intervene to keep your Deployment on track by messaging groups of, or individual, Learners.
You might want to message those who have Not Started, to remind them of the purpose of the Program, or direct them to internal resources that set the context for their learning. Equally, you might want to message those who are Ahead to recognise their achievements.
You can start these interventions by clicking on a Deployment Status on the side panel, or clicking on an individual step.
Clicking on an individual Step will show you the Learners currently assigned to that Step, where you can further filter by their Deployment Status if you want to target only those Learners on a Step who are falling behind.
Once you have selected the Learners you wish to contact, click the Create Message button, and a modal will appear to allow you to write your message. Once you’re happy with the message, click and hold the Send button and the Immersive One platform will dispatch emails to the selected Learners.
Learner Progress
Learners will move through the Deployment as dictated by the Program structure. When they are initially Enrolled, they will be assigned to the first Step. As they complete each Step, they will be assigned the next one in the Program flow, depending on any automation configured.
Learners can only be in one place in a Program structure at any point in time, and currently their position in the Program cannot be manually updated or overridden by a Manager.
