Screening Managers and Recruiters can add candidates, manage invitations, amend job details, close or archive jobs, and view performance reports.
Under the Manage section in your launchpad, you will find the Cyber Candidate Screening sections.
Candidate Screening has two platform roles: Screening Manager and Recruiter.
Screening Manager permissions
Both Screening Manager and Recruiter can access Candidate Screening by navigating to Manage in the main menu:
Screening Managers can:
- Create jobs
- Manage jobs (edit details and delete)
- Create custom assessments
- Assess candidate performance by accessing reports
- Add/Remove Recruiters
Jobs are the open positions available at your organization that you're hiring for. Each job must have an associated assessment that candidates assigned to that job must complete. An assessment is a collection of hands-on labs that test candidates' capabilities against the job specifications. The platform includes a selection of ready-made assessments to choose from, as well as the option to create custom assessments.
When creating a job, Screening Managers can either choose from the tailored assessments created by experts at Immersive Labs, or build their own custom assessment from a catalog of labs.
Note: Screening Managers can only view and manage jobs they've created. They're not able to view jobs other Screening Managers create, unless they're added to the job as a Recruiter.
Recruiter permissions
Recruiters have the same permissions as Screening Managers, but only for jobs they've been added to. They can't create new jobs or view jobs they're not a Recruiter on. Screening Managers can add Recruiters to jobs so Recruiters can work alongside the Screening Manager on specific roles.
Recruiters can:
- Manage jobs (edit details and delete)
- Create custom assessments
- Assess candidate performance by accessing reports
- Add/Remove other Recruiters
Note: Recruiters can't create new jobs.
Creating a job
Screening Managers can create a job by setting a title and deadline, selecting an assessment, and inviting candidates. Please follow the following steps to create a job:
- Navigate to Manage in the main menu, and then New Job.
- Give the job a title and, optionally, a deadline for the assessment.
Avoid setting a Friday or weekend deadline — if a candidate has a technical issue, our Support team won't be available outside business hours. - Add Recruiters to the job (optional). These individuals will be able to manage the job — adding candidates, adding other Recruiters, adding assessment details, and accessing results.
- Select an assessment. To do so, select the View Assessment button, or the assessment tab.
Either:
Choose an existing assessment from the catalog
Select an assessment from the list displayed in the catalog. Select the preview icon on the bottom left of each assessment to view the labs it includes.
Or create a custom assessment for your organization or job vacancy
- Select the Add Custom Assessment button at the top of the catalog.
- Add a title and description for the assessment.
- Select Next and choose the labs that will form the assessment. You can mix and match labs across the different collections displayed.
- Note: the content available for Screening Managers and Recruiters to choose from is based on the license assigned to them.
- To assign content, select each collection, then the Add button next to the specific lab, and navigate back to the selection screen by clicking Lab Selection in the breadcrumb.
- Select Next, then review and publish your custom assessment.
- Invite candidates to the job. When the job and assessment are launched, an invitation email goes out to all candidates added. Please follow the steps on the next section.
Adding candidates
Screening Managers and Recruiters can add candidates to draft jobs as well as live jobs.
To do this, search for the job you want to add candidates to and select it. In the candidates area, you'll find an Add Candidates button.
Candidates can be added to a draft or live job at any point, which allows for a flexible recruitment process.
Candidates added to draft jobs won't receive an invitation email until the assessment is launched and the job goes live.
Once the job reaches its deadline (if one was set), no further candidates can be invited.
Note: you can't remove candidates from a job.
Resending email invitations
Screening Managers and Recruiters can resend the invite email to candidates as a reminder, up to once every 24 hours.
To do so, select the job and navigate to the candidates area. You'll find a Send Reminder button in the action column next to candidates who haven't yet completed the assessment.
Note: Managers can send reminders to candidates who haven't yet accepted the invitation. Candidates with an accepted status have already registered on the platform via the invitation link — Managers can't resend the invitation in that case.
Amending job details
If a job is in draft status, select it at any point to amend any of its details.
To change the assessment in a draft job, select View Assessment, and then the delete icon in the bottom right of the assessment.
If a job is live, you can add candidates, and change the job title or the assessment deadline.
Note: you can't change the assessment once a job is live — this keeps the process fair for all candidates.
Avoid setting a Friday or weekend deadline — if a candidate has a technical issue, our Support team won't be available outside business hours.
To change the job title or the assessment deadline, select the ellipsis (three dots) in the action column next to the job, and then Edit.
Screening Managers and Recruiters can't amend details for jobs that are closed or archived.
Closing a job
A closed job has reached its deadline and isn't visible to candidates.
You might want to close a job to stop candidates from completing or engaging with the assessment — for example, when the hiring process has concluded.
To close a job, select the ellipsis (three dots) and change the deadline to enforce an earlier end. The job closes at midnight UTC on the date you set.
Archiving and deleting a job
An archived job isn't visible to candidates and can't be edited by a Screening Manager or Recruiter.
A job must have a draft or closed status before it can be archived.
To archive a job, select the ellipsis in the action column, and then Archive.
Screening Managers and Recruiters can still view archived jobs they've created or manage, along with any reports associated with them, by filtering jobs by archived status.
Deleting a job removes it entirely — Screening Managers and Recruiters won't be able to access it on the platform.
To delete a job, select the ellipsis and then Delete.
Note: you can't delete a live job.
Adding and removing Recruiters
Screening Managers of a job, and Recruiters added to that job, can add or remove Recruiters.
To do so, navigate to Manage Jobs, select the ellipsis in the actions column, and then Edit.
Search for Recruiters to add in the Add Recruiters area, or remove Recruiters already listed there.
Note: Recruiters can be added to live or draft jobs. They can't be added to closed or archived jobs.
Viewing the job report
Once a job is launched, Screening Managers and Recruiters can access a Reports area, as well as see candidates' completion status in the Candidates area.
To view the report, select Manage in the main navigation menu, and then Manage Jobs. Search for the job and select it.
Note: Managers can view reports for live, closed, and archived jobs. Reports for live jobs update as candidates complete the assessment.
In the reports area, you'll find the following metrics:
- Assessment progress
The percentage of users who completed the assessment, out of those who accepted the invitation and registered on the platform. - Average accuracy
The average accuracy of all candidates across all labs. - Average time in-lab
The average time candidates spent in the assessment. - Accuracy vs. time graph
A graph plotting each candidate's accuracy against the time they spent. - Leaderboard
A list of all candidates ranked from highest to lowest performance. Ranking is determined first by the percentage of labs completed, then by accuracy. Selecting a candidate opens their individual report, where you can see detailed information on each lab in the assessment — including correct and incorrect answers and time spent.
Note: you can export both the job report and any candidate-specific report using the Download PDF button.
